What is a workflow in Keragon?
In Keragon, a workflow is an automated series of steps (actions or events) that you set up to connect your apps and perform tasks automatically. It’s essentially a process you configure once, and Keragon will run those steps for you whenever needed - saving you time on routine work.
What is a workflow run?
A “workflow run” is each time your workflow executes from start to finish. In other words, every time a workflow you’ve built completes its process successfully, it counts as one workflow run.
How do I estimate how many workflow runs I’ll need?
It depends on how many processes you automate. As a rule of thumb, think about how often your workflows will trigger. For example, if you automate appointment scheduling and you have 300 appointments a month, that workflow would run 300 times in a month. We’re happy to help you estimate your needs based on your specific use case – just ask!
How many workflows can I create, and what does “published workflows” mean?
You can create as many workflows as you’d like in Keragon. Each plan includes a limit on how many workflows can be active (or “published”) at the same time. For example, the Starter plan allows up to 3 workflows to be actively running, Professional up to 15, and Scale Up up to 100. You can still build additional workflows and save them as drafts or swap out which ones are active as needed. Published workflows just means the number of workflows you can have turned on and executing at a given time. These limits are set based on typical use, and they can always be increased by upgrading plans or discussing a custom plan with us if needed.
Are there any limits on my workflows or usage?
Keragon has a fair usage policy to ensure stable performance for all users, but in practice the main limit is that each individual workflow can include up to 100 steps (actions). This is quite high and lets you build very complex automations. There are no other hidden limits – you can run as many workflows as your plan allows, and if you need more, you can always upgrade or purchase extra runs.
Do I need to know how to code to use Keragon?
No – you don’t need any coding skills. Keragon is a no-code platform designed for healthcare professionals. You can build and test complex workflows using a visual interface, without writing a single line of code. (For those few advanced cases where code might be helpful, Keragon supports it – but it’s completely optional.)
What kind of support and onboarding will we receive?
We’re here to help you succeed with Keragon. Every user has access to our comprehensive Help Center guides, tutorials, and community forums 24/7. On the Professional plan and above, you also get direct email support – our support team typically responds within one business day (and much faster for Priority support on the Scale Up plan). Enterprise customers receive premium onboarding and support, including a dedicated account manager or workflow engineer who will work closely with your team, customized training sessions, and guaranteed response SLAs for any issues. We can even assist in designing your first workflows or integrating Keragon with your systems. In short, we won’t leave you on your own – from day one, we’ll guide you through setup and be there whenever you need troubleshooting or advice.
What if we need help building our workflows or a specific solution?
We understand that automating processes can be a new endeavor, and we’re here to help. Keragon offers plenty of resources to get you started: our step-by-step tutorials, template workflows, and AI Co-pilot can all assist you in building automations on your own. If you prefer more hands-on help, you have options too. Our support team can answer questions and give guidance on best practices. We also have a network of Keragon-certified automation experts (an experts marketplace) who you can hire to build complex workflows or integrations for you. Enterprise customers will have a dedicated workflow engineer assigned, who can virtually act as an extension of your team to design and implement workflows. In short, whether you’re a DIY enthusiast or want a helping hand, Keragon ensures you won’t be stuck. We’ll help you turn your ideas into effective automated workflows.
Can my whole team use Keragon?
Yes, your whole team can use Keragon – and we do not charge per user. All plans support unlimited users at no extra cost. You can invite colleagues, staff, or team members to collaborate on your Keragon workflows and data within your account. We believe automation works best when everyone can contribute, so whether you have 2 or 20 people on your team, the price of your Keragon plan stays the same. Bringing your team on board is a great way to multiply the benefits of Keragon across your organization!
Which healthcare integrations does Keragon support?
Keragon currently supports 300+ integrations with popular healthcare systems and apps. This includes major EHR/EMR platforms, scheduling and telehealth tools, communication systems, and more. We’re always adding new integrations – for the latest or more specialized healthcare connectors, please get in touch with us. We can likely connect with whatever tools you use.
What if Keragon doesn’t have an integration I need?
Keragon connects with 300+ software vendors out-of-the-box, but we know every organization has its own mix of tools. If there’s a tool that you need to automate that you don’t see on our integrations list, you have a few options:

• Use our Universal Connector: Keragon includes a universal HTTP/REST connector and webhook features, so you can connect to virtually any system that has an API. This lets you integrate with custom or niche applications.
• Request an integration: Our team is constantly adding new integrations based on customer feedback. Let us know what you’re looking for – we take integration requests seriously, especially for healthcare systems that many customers use.
• Build a custom integration: For unique enterprise systems, our engineers or partners can help build a custom connector or workflow for you. Enterprise clients often take advantage of this to integrate home-grown software.

Chances are, even if we don’t list the software vendor, Keragon can work with it one way or another. We’re committed to making sure your workflows can connect everything you need.
Is Keragon HIPAA-compliant?
Yes - Keragon is fully HIPAA-compliant. In fact, we undergo regular independent audits by a leading third-party to ensure we meet all HIPAA requirements, and we can provide a HIPAA attestation report for your records. Your patients’ data is handled with the highest care and security.
Will Keragon sign a BAA (Business Associate Agreement)?
Yes. We provide our standard Business Associate Agreement (BAA) for all plans to ensure HIPAA compliance. If your organization requires us to sign your own custom BAA, we can accommodate that as well for our Enterprise customers – we’ll just charge a one-time fee to cover the legal review by our HIPAA compliance attorneys.
Is Keragon secure?
Absolutely. We employ enterprise-grade security measures to protect your data. Keragon is audited by independent experts and is SOC 2 Type II certified, in addition to being HIPAA-compliant. We follow industry best practices (encryption, continuous monitoring, etc.) to keep the platform safe and reliable. You can read more details about our current security posture in our Trust Center. Rest assured – your data’s security is our top priority.

Plans and pricing

What happens if I use up all my workflow runs for the month?
We’ll send you email alerts as you approach your plan’s run limit. If you do go over your included runs, don’t worry – your workflows won’t stop. You can continue running workflows and any additional runs will simply be billed at the per-run rate of your plan (as listed in our pricing) on your next invoice. In short, we make sure your automations keep running, and we’ll just charge the standard extra-run rate for anything beyond your plan.
Do unused workflow runs roll over?
No, unused runs don’t roll over. Your workflow run count resets each billing period (monthly or annually). For example, if your plan includes 2,000 runs per month and you only use 1,800 this month, it will still reset to 2,000 again next month. This ensures each billing cycle starts fresh with your full allotment of runs.
Which workflow runs count toward my usage (billable runs)?
Any run of published workflow, successful or failed, counts as a billable run - whether only one or multiple steps are executed. In practice, that means if a workflow was triggered and went through its steps (even if some branches or steps were skipped), it counts toward your run total as long as the workflow execution was completed (regardless if the final outcome was a success or failure).

However, test runs (runs executed in test mode while you’re building or debugging a workflow) do NOT count against your usage. We only count real, published workflow executions.
How do I choose the right plan for my needs?
Keragon offers several plans tailored to different needs:

• Starter – Ideal for solo practitioners or small clinics starting out. It provides core automation features to explore Keragon in a cost-effective way.
• Professional – Great for growing practices and digital health startups. It supports higher volume (more workflow runs and workflows) and includes standard support to help your team as usage increases.
• Scale Up – Designed for large practices or multi-specialty groups that have high automation demands. It offers a big jump in capacity (20,000 runs/month) and priority support, so your critical workflows can get full support.
• Enterprise – A custom plan for organizations with advanced or unique requirements. This is best if you need things like custom limits, strict SLA commitments, specialized integrations, or dedicated infrastructure. Enterprise comes with a dedicated account manager/workflow engineer and the highest level of support.

If you’re not sure, we usually suggest starting with your best guess (you can try any plan free for a trial period) – you can always upgrade later as your needs grow. Our sales team is happy to discuss your situation and help you pick the perfect plan.
When will I be billed for my plan?
We charge your subscription at the start of each billing cycle. If you’re on a monthly plan, you’ll be billed at the beginning of each month. If you choose an annual plan, you pay upfront for the year (and you’ll get a discounted rate for committing annually). In either case, you’ll always know when a payment is coming – no surprise mid-cycle bills.
Can I upgrade or downgrade my plan later?
Absolutely. You can change your plan at any time through your Keragon dashboard. If you decide to upgrade to a higher tier, the change can be made immediately and we’ll pro-rate the cost so you only pay the difference for the rest of your billing period. If you need to downgrade or adjust your plan, we can schedule that for the next billing cycle so you get everything you already paid for. If you need guidance, just reach out to us and we’ll make the transition seamless. Our goal is to stay flexible as your needs evolve.
Can I cancel my subscription at any time?
Yes – you’re not locked into a long-term contract. You can cancel your subscription whenever you want, just by contacting us. There are no cancellation fees, and if you do cancel, you’ll continue to have access to your account for the remainder of the period you’ve already paid for. We want you to use Keragon because you love it, not because you’re stuck in a contract.
Do you offer free trial?
Yes! We offer a free trial so you can try Keragon risk-free. You can sign up for a trial directly on our website (no credit card required) and get full access to Keragon’s features for 14 days. This gives you two weeks to build workflows and see how Keragon fits your needs. If you need more time or have any questions during your trial, just let us know – we’re happy to help make sure you get the most out of it.
Do you offer any discounts (e.g. annual or non-profit)?
Yes. If you opt for annual billing on any plan, you’ll receive a significant discount (roughly 33% off vs. paying monthly). We appreciate that many healthcare organizations are budget-conscious, so we also offer special pricing for non-profits and certain mission-driven providers – just contact us, and we’d be glad to work something out. Our aim is to be as affordable as possible for those delivering care.
What forms of payment do you accept?
We accept all major credit and debit cards via our secure Stripe payment system for all standard plans. For Enterprise customers, we can also accommodate invoicing or wire transfers. In short, whether you want to pay month-to-month with a card or need an invoice process for your organization, we have you covered.
